Acceptance of Terms and Conditions
The act of submitting the Reservation Request Form will serve as admission that you have read, fully understand, and accept the following terms and conditions. These terms and conditions will serve as a binding contract between yourself and Roadtrips.
Reservation Request Form Submission
To redeem your Award, complete the Reservation Request Form and fax it to: (204) 957-1241. Upon receipt of your Reservation Request Form, we will assign a personalized concierge who will contact you within 2 business days to process your request, confirm your travel dates and mail a confirmation of your travel reservations. For faster confirmation, provide your email address to receive an email copy of your reservation. You will receive your travel documents approximately two weeks prior to your confirmed travel dates. The Reservation Request Form must be received by our redemption center at least forty-five (45) days in advance of your requested arrival date. We regret that requests received inside 45 days will not be processed. Please keep a copy of your completed Reservation Request Form. While requests will be accepted up to 45 days prior, please allow as much advance notice as possible. Reservation Request Forms must be signed accepting terms and conditions. Reservation Requests are not accepted by phone. All Reservation Requests must be made through Roadtrips Exclusive Awards Redemption Center. Reservations cannot be made or redeemed directly with any hotel, team or ticket box office. Please do not contact the hotel in reference to this package.
Form Completion
The Roadtrips Exclusive Awards Redemption Center requires submission of all information denoted as “Required Information” on your Reservation Request Form, including the submission of all three (3) requested travel dates and destinations. Your Reservation Request Form will be processed for all travel requests submitted.
Awards for Sports Events
For sports vacations, please note that most regular season games in the NFL, NBA, NHL and MLB are available. However, due to high demand for certain teams, games, or hotel availability, some games may not be available. If your game is not available, you will be contacted within 2 business days of our receipt of your Reservation Request Form. Playoff, Exhibition, and All-Star games are not available. Sports related packages may not be cancelled once confirmed. There are no refunds, exchanges or changes of date for unused packages or portions thereof. Confirmed sports packages must be used as issued and are not valid for any alternate dates, games, itineraries, seating locations or hotels other than those confirmed by Roadtrips.
Changes to Confirmed Travel Packages
Changes and adjustments to confirmed travel packages may be made up to 30 days prior to confirmed arrival date for non-sports related packages. A $100.00 change fee will apply. Cancellation of confirmed travel packages must be made at least 14 days prior to arrival date. Cancellations within 14 days of confirmed arrival date will result in complete loss of vacation award. Amenity selections may not be changed after Reservation Request Form is submitted. Exceptions to this policy cannot be made for any reason, including weather, acts of God, terrorism, civil unrest, personal or medical emergencies.
Additional Hotel Room Guests
This Award is valid for two adults. Most Award hotels allow up to two children up to the age of 14 to stay free when using the same facilities as parents. Some Award hotels have a maximum occupancy of three persons per room. The hotel may charge a rental fee for cribs or roll away beds. Additional hotel nights or game tickets may be available for purchase on a space available basis from your Roadtrips Exclusive Awards Concierge. One person in each party must be at least 18 years of age or older.
Additional Hotel Charges
Guests agree to be responsible for all incidental charges incurred in excess of those covered by the Award. Incidental charges can include food, beverages, telephone use, internet use, parking fees, and other hotel charges. All Award hotels require a credit card or deposit for incidental charges at time of check-in. Award hotels expect departing guests to vacate rooms by 12 noon and arriving guests to check-in later than 3pm to allow for cleaning and maid service. Awards host hotels do their best to minimize inconvenience and store luggage if you arrive early or need to depart late. Roadtrips reserves the right to substitute confirmed hotels with comparable accommodations at either their own or the hotel’s discretion. Accommodations are subject to availability. Awards include standard guestroom accommodations at selected hotels.
Award Destinations
Due to occasional changes by hotels involved in Roadtrips programs, Travel Award destinations are subject to change without notice. You may access a current list of destinations for your award at any time by contacting the Roadtrips At-Your-Service Desk at 1-800-465-1765.
Award Expiry
All vacations must be completed by the Award expiration date. Awards cannot be extended past the expiration date. While the Award is transferable, resale is strictly prohibited. Awards that have been resold are subject to immediate forfeit and cancellation. Awards are not valid for groups, major conventions, business trade shows, special events and may not be available during holidays.
Documentation and Personal Identification
It is the responsibility of each individual traveler to obtain the documentation required for their trip such as passports, visas, birth certificates and photo identification.
Airline Reservations and Changes
Roadtrips has no affiliation with any airline. Any airline reservations done on a client’s behalf by Roadtrips are subject to the applicable airline rules and regulations, changes and cancellation policies. Please contact your airline 12 hours before departure and again 4 to 6 hours to re-confirm departure time.
Liability
Roadtrips, Exclusive Awards and sponsoring representatives are acting solely as agents. They are responsible only for making the arrangements for all accommodations, services and events that constitute the trip, except to the extent that accommodations, or services cannot be supplied due to reasons beyond the control of the agents. The above parties are not liable for personal injury, property damage, inconvenience, loss of time, or loss arising out of the act, omission or negligence of any direct air carrier, motor coach company, hotel or any person rendering any services or accommodation in conjunction with the tour or travel package. Furthermore, the above parties are not in any way responsible for any injury, damage, or loss due to reason of theft, accident, mechanical breakdown, government action, weather, failure to make timely payments, or any reason beyond the control of those parties.
Tax
Federal and state income tax liability, and any other federal, state, or local taxes are the responsibility of the Participant. Award offers are void where prohibited by law. Awards cannot be converted to cash.
Loss of Award
Roadtrips, Exclusive Travel Awards, and its appointees are not responsible for lost, stolen, or destroyed Award certificates or travel documents. Program is governed by the laws of the Province of Manitoba. Other restrictions may apply.
Term of Use of The Web Site
- By using the Exclusive Travel Awards website ("Exclusive Awards"), you ("the user") are agreeing to the terms of use of this site which includes, but is not limited to: Roadtrips: The Ultimate in Sports Travel (Roadtrips.com), Roadtrips, Inc. (roadtripsinc.com), Exclusive Group Experiences (roadtripscorporate.com), At-Your-Service Desk™ and any other services accessible via the website.
- The content and information displayed on this web site is the property of Roadtrips, Inc. ("Roadtrips"). The downloading, reproduction, or retransmission of Roadtrips content, without the express consent of a Roadtrips representative, other than for non-commercial individual use, is strictly prohibited.
- Exclusive Travel Awards website might include trademarks, copyrighted material, products or other proprietary rights of Roadtrips and/or other parties. No license to, or rights to such materials are conferred to you.
- You agree that you will not use any device, software or other methods to interfere or attempt to interfere with the proper functioning of our site. You will not take any action that imposes an unreasonable or disproportionately large load on our infrastructure.
- You agree that you will not use any robot, spider, other device, or process - whether automated or manual - to monitor or copy the content on our web pages in part, or in whole, without the prior express consent from a Roadtrips representative (standard search engine technology used by Internet search web sites to direct users to this site are considered to have such consent.)
- The user must verify that all registration information is accurate and doesn't violate our privacy policy. All user registration information is held in confidence by Roadtrips in accordance to our privacy policy.
- You are responsible for all comments that you send to, or post on the site and must adhere to the rules outlined in our privacy policy. By sending or posting such information you are giving us permission to use the information as promotional material on the site, our affiliates and partners sites or in our print materials for promotional or marketing purposes.
- In the advent that we have a public forum or web log it is understood that you will adhere to the rules of use outlined herein and in our privacy policy. Information submitted to our forum or web log will present no harm or violation of rights to other users, the site, or our partners and affiliates; views expressed by our users are not necessarily those of Exclusive Travel Awards.
